How to Improve Document Access for Disabled Workers

Despite advances in electronic data storage and retrieval, the need for managing hard copy documentation continues to occupy the time of much of the work force. Recognizing this, many organizations are moving on strategies to improve access to hard copy documents. With foresight, these organizations can also improve the comfort and productivity of disabled workers and reduce their exposure to claims filed under the Americans with Disabilities Act.

ADA Symbol What is reasonable?

Once such accommodations are made, it still becomes necessary to judge whether they actually improve life for disabled workers. While it will ultimately be the courts that decide what is reasonable, the ADA provides a set of technical specifications that clarify its position for newly constructed or added facilities. These specifications, detailed in Titles II & III of the Act, cover "all or any portion of buildings, structures, site improvements, complexes, equipment, roads, walks, passageways, parking lots, or other real or personal property located on a site."

The ADA technical requirements apply to filing cabinets, systems, and other storage equipment if they are used in areas which are primarily work areas, as opposed to, for example, a public lobby or employee cafeteria. In addition, the following requirements are mandated for new construction or additions, the following requirements provide a good set of guidelines for helping employers comply with their obligation to provide reasonable accommodation to all employees, in all areas.
